PVS Manfred Reiss GmbH Processes Laboratory Documents with Captaris Document Technologies

The automated digitalization of laboratory documents and the extraction of data is carried out by DOKuStar from Captaris Document Technologies, previously Océ Document Technologies, for PVS Manfred Reiss GmbH. The system, which is manned by ten users on a rotating basis, currently processes around 200,000 pages annually.
Quick scanning of various document formats, error-free reading of the defined information, a very low validation rate and automatic assigning to the respective practices: Those are just some of the advantages which have become noticeable in PVS Manfred Reiss GmbH's business operations since the introduction of the new solution. External and internal laboratory documents, medical expense plans, various documentation, declarations of conformity and other attachments are all processed.
The DOKuStar document analysis software extracts and analyzes the data and is assisted by Adaptive Read Technologies (ART). During operation, the recognition rate can be continuously increased by training the system and teaching it where to find the required data on the particular document layout. DOKuStar Extraction guarantees intelligent recognition and extracts specific information, according to the document class. The data is validated and transferred as an XML file to the software used by PVS and Medical Factoring Reiss GmbH, which has been adapted to the Captaris workflow.
"Introducing the new system has significantly reduced the error rate. The software is very easy to operate and does not require any specialist knowledge of electronic data processing. Training was also carried out swiftly and according to plan," said Hans-Dieter Faller, company officer of PVS Manfred Reiss GmbH. "We were assisted in a professional manner by the project manager and system technicians on site, both during and following the launch."
The decision to introduce DOKuStar was made by Michael Reiss, managing director of Medical Factoring Reiss GmbH, and Hans-Dieter Faller, company officer of PVS and MEFA. The solution replaces the previous procedure of transferring dental bills as files and attachments as documents. Attachments to external laboratory invoices and invoices connected with third-party liability, accident and automobile insurance had to be packed by hand, which was very time-consuming and resulted in a high error rate. Digitalization of the attachments was essential, since printing of the invoices was to be carried out by an external publishing company.
